Automate Wallbox Charging Reports for Billing – For Company Cars, Tenant Electricity, and PV Surplus

The use of electric vehicles in businesses and residential buildings is on the rise. At the same time, the demand for transparent, automated billing is also increasing. Loxone offers a scalable solution – from individual wall boxes to fleet management – that is tax-compliant, user-specific, and automated.

Traceable Recording of Charging Sessions for Billing and Verification Purposes

The biggest challenge when billing for private or business charging is ensuring that the documentation is clear and traceable: Who charged when, for how long, and how much energy? This information is particularly essential for employers or the tax office – whether for billing a company car or for clearly separating private and business electricity consumption.

Loxone provides a scalable solution for the automated recording of charging processes. Charging processes are logged in a structured manner and can be automatically exported and transmitted at regular intervals – for example, for further processing or archiving.

The recorded data sets include:

  • Time stamp (date & time)
  • Amount of energy charged (kWh)
  • User ID for unique assignment

This provides all the relevant information needed for accurate billing, e.g. for documenting company car use, internal cost allocation, or billing for PV self-consumption and tenant electricity. The data can be transferred directly to existing tools such as Excel, ERP, or accounting software.

Two Ways to Automate Load Data Collection

There are two options available for automatically recording and billing charging sessions with the Loxone Miniserver:

  • Exosphere: This platform from Loxone enables centralized management of charging data records. Recorded charging sessions are bundled in Exosphere, where they can be processed directly for billing and analysis purposes – ideal for commercial installations and multi-user environments.
  • CSV export via email: For individual installations, e.g. in a private setting, data can also be recorded locally in the Miniserver. The wallbox module in Loxone Config enables automatic logging of each charging session. The data can be sent as a CSV file via email at the end of each month, for example, to be forwarded to your employer for company car billing.

 

Capture Global Charging Data With Exosphere

When multiple users charge at different wallboxes, central recording of charging processes is crucial, e.g. for fleet vehicles, employee parking spaces, or rental properties.

With Loxone Exosphere, charging sessions can be logged and evaluated across Miniservers regardless of their location. In combination with the “Session Database Connector” module, even complex database structures can be easily integrated.

This enables precise, user-specific documentation – ideal for billing, tracking, or tax evaluation.

Loxone Hardware at a Glance – The Basis for Automated Charging Infrastructure

Only a compact set of basic Loxone hardware is required for the automated documentation and control of wallbox charging processes. The solution works with any Loxone Miniserver, whether Miniserver, Miniserver Compact, or Miniserver Go.

Loxone Miniserver

It handles user management (e.g., via NFC), regulates charging approvals, controls dynamic load management, and automatically generates CSV reports via email, including user ID, charging amount, and timestamp.

No manual intervention is necessary, saving time and personnel.

Loxone Wallbox

Depending on the model, the Loxone Wallbox supports dynamic charging from 1.38 kW to 11 kW or 4.1 kW to 22 kW.

This allows you to:

  • Intelligently distribute charging power across multiple vehicles,
  • Implement PV surplus charging,
  • Implement grid-compatible load management, or
  • Link charging to favorable electricity tariffs (e.g., spot market prices).

The Wallbox Air is ideal for retrofit projects without existing cabling, while the Wallbox Tree is suitable for new buildings with structured bus cabling.

Loxone Energy Meter 3-Phase

A Energy Meter 3-Phase is used to accurately measure the energy consumed.

It is MID-certified, which means:
The measurement accuracy and integrity of the data comply with the legal requirements for billing-relevant energy measurement in a commercial and tax context (in accordance with EU Directive 2014/32/EU).

The measurement data is transmitted to the Miniserver in real time and forms the basis for automatic logging and billing.

Loxone NFC Code Touch

The NFC Code Touch, which can be integrated directly into the Loxone Wallbox if required, is used for user identification. Users log in contactlessly via NFC Tag – without an app or additional hardware.

Each charging process is automatically linked to a user ID. This enables:

  • Clear allocation of charging sessions per user or vehicle
  • Defined access rights (e.g., authorized persons only)
  • Automated and user-related charging logs

Ideal for fleet vehicles, employee parking spaces, or rental properties with multiple users.

Configuration Example: Automatically Record Charging Sessions and Send Them by Email

The implementation in Loxone Config is based on a few key components. The goal is to automatically log all charging sessions per user and send them monthly as a CSV file via email at the end of each month.

The focus is on the Wallbox module, which enables precise documentation of the charging processes. The user ID required for this is transferred directly from the NFC Code Touch module to the Wallbox module.

In the properties of the Wallbox module, you can activate the automatic sending of charging logs by email. The following time intervals are available:

  • Daily (at the end of each day)
  • Weekly (at the end of each week)
  • Monthly (at the end of each month)

 

If you also want to save a charge log locally on the Miniserver’s SD card, this is easy to do:

  1. Create a logger.
  2. Connect it to the “Lcl” (Load Charge Log) output of the Wallbox module.
